Aluvision, a leading producer and international supplier of modular aluminum systems and LED solutions for the booth construction and event sector, faced a challenge. Due to their rapid growth and international operations, project planning was becoming increasingly complex. Since there was no single tool that fully met their needs, they decided to develop a custom solution.

The team still relied on physical planners in the office, but this was no longer scalable in a fast-growing, hybrid work environment. With limited remote accessibility, a heavy dependence on manual updates, and a lack of central, up-to-date information, it became clear that a digital step forward was needed to take their planning to the next level.

Together with Aluvision, we developed a visual and user-friendly planning tool that aligns perfectly with their way of working. The result is a tool that makes project planning transparent, flexible, and available to all teams in real-time.

Designers get a clear overview of both their own schedule and those of their colleagues, which promotes collaboration and provides insight into priorities.
Team leads and planners can easily assign, rearrange, and follow up on tasks without losing the big picture.
The intuitive drag-and-drop interface and integration with existing tools ensure maximum efficiency.

Technical challenges?

We like a good challenge. Every project brings its own technical hurdles, and we thrive on that. At Aluvision, the technical focus was on seamlessly integrating the tool into their existing IT landscape:

Real-time data synchronization: The data for the planning tool comes directly from Aluvision’s Microsoft Dataverse platform. We had to ensure that the planning and source data remain constantly synchronized across different platforms. This guarantees that everyone is always working with the most current information.
Integrations with existing tools: To maximize efficiency, we integrated the planning tool with other essential systems, such as their HR administration tool, Officient. This allows team leave and absences to be automatically displayed on the schedule.
International scalability: Aluvision has branches in both Belgium and the US. The digital tool had to function in two different environments, each with different data.

Our mission was clear: build a planning tool that actually works. No unnecessary processes or useless features, just a tailored trajectory with maximum value.

Intensive Kick-off: We listened to every stakeholder to map out all needs and clear up any final uncertainties.
Design & Feedback: The design was developed with regular feedback moments, quickly resulting in a final version.
Early Testing: We set up a testing and staging environment early in the process. Aluvision could test the application at any time and follow changes in real-time.
Short Feedback Loops: In addition to weekly internal stand-ups, we worked with bi-weekly feedback loops with the client. This happened with the right people at the table: short, to-the-point, and always constructive.

Thanks to this open communication and pragmatic approach, a robust tool that perfectly met Aluvision’s needs was up and running in no time.
